Purpose of Job:
To work competently as a Conveyancer in the Residential Conveyancing Department. To support the firm in growing its client base and the profile of the firm through the promotion and delivery of an excellent service and by getting involved with business development.
Job Specific Duties and Tasks
1. Case Management
Handling a variety of transactions: Manage a mixture of residential conveyancing matters, such as freehold, leasehold, purchases, sales, remortgages, new-build properties, shared ownership, and transfer of equities
End-to-End Transaction Management: Oversee all aspects of the conveyancing process from instruction through to completion, including reviewing and drafting documents, exchanging contracts and ensuring timely completions.
2. Problem Solving: Handle issues or complications that may arise during transactions
3. Client Communication: Maintain regular and proactive communication with clients, ensuring they are kept informed of progress and managing expectations
4. Mentoring Junior Staff: Assist and supervise legal assistants, providing guidance on their work and ensuring quality standards are met.
5. Delegating Work: Allocate tasks to assistant or other appropriate team members, ensuring that work is carried out efficiently and to a high standard.
6. Legal and Regulatory Compliance: Ensure all transactions comply with legal, regulatory and anti-money laundering (AML) requirements
7. Risk Management: Identify and address any potential legal or operational risks in transactions, escalating serious issues to senior management when necessary.
8. Client Relationship Management
Client Liaison: Build strong relationships with clients, estate agents, mortgage brokers, and other third parties involved in the transaction to facilitate smooth communication and a successful transaction process.
Managing Expectations: Clearly communicate the legal process, timelines, and any issues that arise to manage client expectations
Client Retention: Work to retain existing clients through excellent service delivery, and potentially contribute to business development efforts by fostering new relationships.
9. Document Drafting and Review: Drafting and reviewing legal and all associated documents, report to client and lender, ensuring any legal risks are identified and mitigated.
11. Progress Monitoring and Time Management
Managing Deadlines: Ensure all tasks and transactions meet critical deadlines
Progress Tracking: Keep meticulous records of each case, maintaining up-to-date case management systems
12. Client Billing and Financials
Fee Estimates: assist with provide clients with fee estimates at the start of a transaction
Invoicing: ensure that fees are billed in a timely manner and handle any fee related queries from clients.
13. Continued Professional Development (CPD): and keep up-to-date with changes in property law, land registration rules, and other relevant regulations
14. Reporting and Feedback
Reporting to Management: provide feedback on performance and client satisfaction
Feedback for Improvement: offer suggestions to improve internal processes, efficiency, and client service.
General Duties and Tasks
To provide legal advice and assistance to the Firm’s existing clients whilst developing your own client base.
To understand and comply at all times with the obligations set out by the Solicitors Regulations Authority and other relevant regulatory bodies, particularly the SRA Standards & Regulations, Solicitors Accounts Rules and Quality Conveyancing Scheme requirements.
To work efficiently as a fee earner within the department.
To utilise the Firm’s case management system to the best effect in order to manage your caseload.
To contribute to the upkeep of the Firm’s case management system by offering ideas to improve our current processes and procedures.
To record time and bill clients in line with agreed practice policy and charging rates.
To identify and initiate cross-selling opportunities.
To exercise your initiative and be proactive in the business development of the firm generally.
To ensure that outstanding client care is given at all times and to maintain a highly professional approach.
To assist with the supervision of support staff in their development and training.
To manage all files methodically and efficiently and in accordance with SRA requirements, the firm’s procedures and the LEXCEL quality mark requirements.
To familiarise yourself with the firm’s staff handbook and health and safety policy.
To ensure the confidentiality and security of all practice and client’s documentation and/or information.
To take responsibility for your own personal and professional development and ensure compliance with any compulsory professional education requirements.
To undertake such other duties, training and/or hours of work commensurate with the role

To work as a valued member of the Commercial Department, specialising in Commercial Property dealing with the legal, contractual, and transactional issues or procedures that concern property and land owned or rented by commercial clients. Whilst ensuring that you meet the compliance needs of the Firm.
To be responsible for own caseload of work and own targets.
Achieve the financial targets defined by the Firm.
To support the firm in growing its client base and the profile of the firm through the promotion and delivery of an excellent service and by getting involved with business development.
General Tasks and Duties:
Continuously develop own technical expertise.
To attend and contribute to group meetings.
Maintain awareness of the legal market specifically relating to relevant specialist areas.
